Concept
The concept of the balance in ProAbono is associated with each customer. It gathers all the accumulated credit/debit lines required for generating an upcoming invoice. Once these lines are processed during the invoicing process, they are removed from the current balance. However, all processed lines can still be viewed in the balance history.
The customer’s balance primarily includes fees related to the management of their subscription(s) as debit lines (e.g., renewal, modification of a feature, etc.). Additionally, you have the option to manually add credit/debit lines to the balance from the back office.
During the invoicing step, the customer’s balance is completely emptied to generate an invoice containing all the lines that were present.
Here is a diagram illustrating the concept and functioning of the customer’s balance:
Generally, the following processes and elements can create lines in the customer’s balance:
Process |
Why? |
Consequences |
Add a new item to be invoiced or deducted from the customer’s balance on an ad hoc basis |
A new line is added to the customer’s balance and will be taken into account in the next billing cycle, whether it is automatic or manual. |
|
Issue an invoice with the balance content |
You can trigger invoicing (outside the automatic subscription billing cycle) from the customer’s balance. This allows you to generate one-time invoices with items or services that are not included in the customer’s subscription (e.g., issuing unique invoices). |
Triggering invoicing enables you to generate an invoice at that moment. This invoicing will take into account all the lines present in the balance at the time it is triggered. |
Delete a line in the balance |
You can delete any line in the customer’s balance at any time, whether it was created automatically or manually. This allows you to rectify an error or remove items that you do not want to be processed in the invoicing step. |
Deletion is permanent. Once the line is deleted, it cannot be processed during the invoicing step. However, you can still view it in the customer’s balance history. |
